Privacy and Confidentiality Policy

Catching the Spirit Youth Society recognizes the rights of individuals (parents, participants, volunteers, funding sources, etc.) and respects their privacy. Consequently, we are committed to protecting the confidentiality of the personal information that you have agreed to send us by following responsible information handling practices in keeping with privacy laws.

Information Gathering

Catching the Spirit Youth Society gathers and uses your personal information in order to provide you with the services you have requested from us. Catching the Spirit Youth Society will only collect information about you if you volunteer it. Catching the Spirit Youth Society will not provide or sell personal information to any third parties.

If you choose to provide us with personal information, it will be used to register you in our programs or to send you information about or invite you to upcoming events or programs that might be of interest to you. We may also use your personal information to improve our communications with you. We also use and disclose data, which does not identify individuals, for statistical purposes to develop and enhance our programs or for funding purposes.

Disclosure

Catching the Spirit Youth Society will not disclose your personal information to anyone without your prior knowledge or consent, except when required by law. This consent can be withdrawn at any time.

Catching the Spirit Youth Society can exchange your personal information with third parties that provide or might provide services on our behalf, such as Metro Vancouver, the RCMP, or medical experts and paramedics. However, we will only provide to these third parties the information required to fulfill their mandate. They are prohibited from using this information for other purposes.

Consent

Catching the Spirit Youth Society will make every reasonable effort to obtain your consent in gathering, using or disclosing your personal information. For children under the age of majority, we will obtain permission from a parent or legal guardian to gather and use personal information on the child’s identity. An exception will be made for legal, medical or security reasons, where it is impossible or unworkable to obtain your consent.

Information Security

Catching the Spirit Youth Society maintains physical, electronic and administrative safeguards that are appropriate to the type of personal information we obtain from you. Your personal information is kept in secure locations, as well as in servers controlled by Catching the Spirit Youth Society, located either in our offices or in the offices of our service providers.

Confidentiality

Confidentiality of client information is one of our fundamental principles. All Catching the Spirit Youth Society board members, staff and volunteers having access to personal data are required to sign an oath of confidentiality prior to their involvement with Catching the Spirit Youth Society and are expected to respect the confidentiality of personal information, handle it responsibly and uphold this agreement.

Client information is discussed only with those who, by the nature of their position, have a need to know. It is never a subject of casual conversation. Any breaches of confidence, or unauthorized access to records, are taken seriously and will result in disciplinary action.

Catching the Spirit Youth Society board members, staff and volunteers are bound by section 14 of the Child, Family and Community Services Act which requires a person to report to a child welfare worker in the Ministry of Children and Family Development if the person believes that the child is in need of protection in the situations set out in section 13 of the Child, Family and Community Service Act.
